Overview

Clinical Evaluations allows for a complete round of evaluations for the student including self competency, preceptor and placement evaluation. In turn, preceptors review the student's self competency as well as complete a student evaluation. Administrators manage the entire process and run the reports.

Why?

  • Automate your clinical evaluation process based on your evaluation preferences (forms, timing, number of evaluations)
  • Reduce the time it takes to deliver evaluations to students, preceptors/teachers, instructors, clinical advisors and administrators
  • Produce reports for accreditation boards using evaluation metrics
  • Measure teacher effectiveness through evaluations completed by the student
  • Drastically increase overall evaluation compliance using email notifications and reminders

Who?

  • Hospital site administrators
  • University/college administrator
  • Students
  • Teachers/preceptors
  • Instructors
  • Deans of healthcare faculties

Features

  • A complete 360 degree evaluation including self-evaluations, teacher, placement and student evaluations
  • Define types of questions used (yes/no, selection, rating scale, comments, text, etc.)
  • Ability to define courses and preceptor/student groups
  • Customize email notifications and settings (i.e., number of reminders to be sent, the frequency between emails and the maximum number of emails)
  • Ability for course instructors to view comparison (self vs. teacher) reports and comment directly on student performance
  • View evaluations for multiple academic sessions
  • Completion status report for evaluation types
  • Generate teaching effectiveness reports based on your settings

Return on investment

Would you like to significantly reduce the cost of running an evaluation process, while extensively increasing data integrity, accuracy and compliance?

You can achieve this by:

Decreasing the number of FTE (Faculty) hours spent on arranging evaluation process

As the evaluation process is completely done online, there is no need to spend hours at a copy machine producing evaluations, then disseminating them to all the necessary individuals. Students activate the entire process by completing a self-evaluation, naming a teacher and placement. From here, email notifications go out to the student and teacher to complete the necessary forms. Once the student self and the evaluation of the student by teacher is completed, the instructors can provide direct feedback on both evaluations by examining a comparison report. There is no longer a need for administrators to search for incomplete evaluations by calling students and teachers. The FTE administrative manpower is decreased notably thus giving them more time to focus on other tasks.

Avoiding follow-up

The online evaluation process takes care of the follow-up for you. Notification and reminder emails are sent based on your requirements. The system automatically generates emails and sends them to those who have not completed their evaluations based on the number of reminders to go out and the frequency. Settings can be set separately for students, teachers and instructors.

Increasing the number of evaluations completed

The more evaluations completed the more the university administration has a clearer picture of the overall effectiveness of the program/course. Over our years of developing evaluation systems, we have found that the number of evaluations completed significantly increases when done online. With the clinical evaluation process, compliance increases notably compared to a paper process.

Increasing accuracy of data

Evaluations are completed online thus preventing errors in scanning of documents. Scanning documents can produce inaccurate information in overall performance metrics as forms can be damaged or marked incorrectly.

Overview

Business Needs

In a clinical setting, measuring the performance of students, preceptors and placements proves to be an invaluable practice for university and college healthcare- related programs. Evaluation metrics provide guidance for future educational activity and informs faculty Administrators on the abilities of teachers, students and placements.

Solution

The Clinical Evaluations module enables the school to move from a manual, paper-based model to one that is web-enabled. Automating the process significantly increases the efficiency and overall accuracy of the entire process.

Benefits

Using the Clinical Evaluations module allows the school to manage the entire evaluation process, from the online submission of various evaluations, to the calculation and availability of scores.

Case

The University of Toronto Lawrence S. Bloomberg Faculty of Nursing offers a variety of programs at the undergraduate, graduate and postgraduate levels, which in total account for more than 700 active students. Some programs can take up to 4 years to complete, and in any given year students are registered in numerous courses and placements, many of which require evaluations to be completed. Reliable metrics that are calculated from the various evaluations are essential to the faculty and play an important role in both the student's and the teacher's overall educational experience.

Challenges

School administrators use ratings from various evaluations to identify trends in education, monitor faculty and student performance, access and improve the quality of training programs, accreditation process, and report on the overall effectiveness of the curriculum. Consequently, it is essential that the process to obtain this information is accurate, efficient and time-saving for all involved.

In many educational institutions it is an immense undertaking to manage clinical evaluations. The model is comprised of a variety of placements to enhance Student skills and includes the management of numerous sites and teachers on an annual basis. A paper-based system consumes a valuable amount of time through distribution and collection of evaluations, document scanning, collation of data and report creation. Evaluations are often misplaced, spoiled or incomplete resulting in inaccurate data. The paper process is inundated with inefficiencies all of which do not contribute to cost effectiveness and the success of the program as a whole.

Solution

In a web-enabled process, evaluations can be accessed by all roles online. Evaluators (teachers, preceptors, supervisors, etc.) and students can be reminded to complete evaluations via email notifications instead of being tracked down individually by course administrators. In an automated model, administrators have one central location to access all evaluation data enabling them to report on key performance indicators for each respective course or placement. This type of automated application is driven by evaluators, allowing valuable administration time to be focused on analyzing data rather than collecting it.

Benefits Realized:

In addition to improving the overall effectiveness of the evaluation process, a web-enabled system provides benefits in other key areas:

Accreditation

Healthcare-related faculties seek excellence in their program so they can provide the best education possible to their students. In doing so, accreditation becomes an important objective. The process of obtaining and measuring evaluation data is a key part in the accreditation process. An automated evaluation process proves invaluable when attempting to establish a program's value to an accreditation board. Administrators can provide key performance metrics for placements, students and teachers for midterm and final reporting as well as provide compliance statistics ensuring that the institution has the necessary information for accreditation.

Improvement/Promotion

In an automated system, students are prompted to evaluate their preceptor(s). Evaluations for individual preceptors can then be aggregated (in real-time) and an overall effectiveness score can be calculated for each teacher for all courses that s/he taught. Teaching awards, grants and promotions can be awarded in a timely fashion based on the data provided.

Self-Serve Component

By providing all parties concerned with a self-serve component, all information would be compiled in one central database thus reducing the dependency on hospital and university/college staff to collect and disseminate evaluation forms.

Timely Feedback

An automated evaluation system provides immediate feedback to all those involved. Preceptors can be updated on their performance and develop improvement plans if required. Administrators can address any issues that arise immediately instead of waiting for the academic year to end.

Compliance

Statistics show that a higher percentage of evaluations completed increases significantly once an online process is introduced. The completion percentage is even higher when the administration mandates evaluations be completed online. An increased completion rate tells a greater story on how the course is performing overall.

Reporting

Evaluation completion status reports are provided for the student, supervisor, course coordinator, and course/placement indicating names, evaluation status, notification and completion dates, and feedback ratings. Data is compiled from completed teacher evaluations to provide overall scores for each teacher (Teacher Effectiveness Score). Reports containing comments entered on any of the evaluations are available as well.
