Return on investment

LinkingHealthProfessionals can significantly reduce the workload of your administrative staff and increase the efficiency of your overall clinical appointment process. Save valuable resources normally used to manually deal with this staggeringly redundant, expensive and error-prone process.

You can achieve this by:

Decreasing the number of FTE hours spent at the administrative level gathering and disseminating information

As the application process is completely done via the internet, all candidate information is collected in one central location. There is no need to call candidates or referrals searching for missing pieces of the puzzle. Once the application process is complete, administrators and appointment committee members are able to access all the necessary candidate information in one location and at a click of a button approve or refuse a candidate. Electronic versions of letters are sent to the candidates informing of their offer which they can automatically accept or deny.

Avoiding the numerous phone calls to validate referrals

Much time is spent at the hospital and administrative level calling to validate whether a referring individual is in fact valid. As the referral process is completely done online, an administrator can validate a referring individual immediately to ensure no false statements are given, increasing the integrity of the data at a faster pace.

Reducing the amount of time printing offers of appointment or refusal letters

With the online application, offers of appointment and letters of refusals are automatically generated for each candidate once they have been refused or denied. The administrator can quickly publish the committee decision and notifications are automatically sent to candidates including the corresponding decision letters.

Overview

Business Needs

As university and college healthcare-related programs continue to strive for clinical excellence, the need to maintain and recruit strong clinical leadership is essential. It is important that the process behind attaining clinical staff is straightforward for candidates and existing faculty, as well as efficient and time- effective for coordinators and administrators. Many organizations have deployed a significant amount of resources to manually deal with this staggeringly redundant, expensive and error-prone process.

Solution

The Clinical Appointments module allows the healthcare facility to move from a manual practice to an automated process. It's a natural evolution and one that significantly improves the overall effectiveness of the clinical appointment process.

Benefits

The LHP Clinical Appointments module facilitates the entire appointment process, from the submission of the candidate's application to posting the decision.

Case

The University of Toronto Lawrence S. Bloomberg Faculty of Nursing offers some of Canada's foremost nursing programs. It's a professional faculty that is recognized worldwide in research and education, providing students the opportunity to study in numerous programs at the undergraduate, graduate and postgraduate levels. Being part of such a high caliber institution enables the faculty to recruit teaching and research staff with strong clinical skills.

Challenges

For many educational institutions it is an immense task to coordinate clinical appointments. The process of appointing teachers and researchers requires an abundance of manpower from both the hospital coordinators as well as faculty administrators. Once an application is received, documents must be tracked, referrals validated and letters distributed. CVs, letters of intent and referrals all need to be compiled before an application can be processed. Significant resources, FTEs and supplies (paper, copy machines, etc.), are used in the process, in part, to gather and record the information from a variety of sources within a specific time period. This clinical appointment process described is labour intensive and time consuming, each of which does not contribute to overall cost effectiveness.

Solution

Progressing from a manual practice to an automated process will improve the overall effectiveness of the clinical appointment process. In the Clinical Appointments module candidates initiate their appointment approval by completing the online application, including the submission of all mandatory documents and Referee contact information. The Referee supplies a referral immediately upon reviewing the candidate's application and the administrator reviews all information provided and subsequently a decision is made. This web-based solution allows users to see all of the data and ensures that candidates, referees, committee members and administrators all have access to the same accurate and complete record.

Benefits Realized:

In addition to the application process the Clinical Appointments module provides:

Timely Response

Since the appointment process is carried out within a specific time frame it's important that tasks are completed in a timely fashion. An automated process ensures that all documents are provided at the time of submission thus reducing the effort administrators need to expend on searching for missing documents. Administrators can track the status of applications at anytime, can determine which referees are delinquent with submitting referrals, and can follow up immediately without tracking down a phone number.

Compliance

By automating the submission of the application, the onus of completion is placed on the candidate thus increasing compliance of document submission. Requiring mandatory documents at the time the application is submitted forces candidates to comply and reduces the amount of time FTEs spend tracing missing documentation.

Self-Serve Component

By providing all parties concerned with a self-serve component, all information is complied in one central database thus reducing the dependency on hospital and university staff to collect and disseminate information. These resources can be better used elsewhere.

Process

The Clinical Appointments module begins and ends with the candidate. The candidate proceeds to the Clinical Appointments module in LinkingHealthProfessionals and completes an online application form. The process includes the referee providing a reference and the administrators reviewing and making a decision regarding the application. The final step involves the candidate receiving a notification of Letter of Appointment for approval or refusal, and is completed when the candidate accepts or refuses the offer.

Reporting

A candidate status report is provided. These reports identify who has applied to the faculty or institution, some basic candidate details such as hospital or employer affiliation, referee name, when they applied and where they are in the application process. If a final decision has been made, a link to the decision letter is provided.
